Privacy and Employee Data Notice

Who we are and what this covers
AeroHolos is the internal operating platform of DeWitt AeroTech and its affiliated companies, AeroWorks and GhostWorks (together, "the company"). This notice explains what information AeroHolos holds about the people who use it, why, who can see it, and how long it is kept. It applies to employees, contractors, and anyone else given an AeroHolos account.
What we collect
- Account and profile information — your name, preferred name, work email, phone, job title, manager, employment type, start date, and emergency contact.
- Work records — the programs, projects, tasks, decisions, documents, and contacts you create or are assigned, with your name attached where you act on them.
- Workload check-ins and friction reports — the self-assessments you choose to submit.
- Security and audit records — sign-ins and failed sign-ins, IP address, session activity, access changes, sensitive document downloads, and other consequential actions, kept in an append-only audit log.
- Assistant queries — questions you ask the AeroHolos assistant are logged so answers stay accountable.
What we use it for
To run the company: coordinating work, controlling access to company information, preserving decisions and institutional knowledge, meeting security and export-control obligations, and keeping the company operating when someone is unavailable. We do not sell personal information, and we do not use AeroHolos data for advertising.
What we deliberately do not do
- AeroHolos is a coordination system, not a covert monitoring system. There is no keystroke logging, screen recording, or location tracking.
- Workload check-ins exist to balance work, never as a hidden performance score. Reporting an unsustainable workload or process friction honestly is protected and will not be used against you.
Who can see what
Access follows need. Your records are visible only to people whose company access, roles, and clearance cover them; restricted programs are visible only to the people explicitly assigned. Administrators can manage accounts and access but do not automatically see business content beyond their own roles. Every access change is recorded with who made it and why.
Service providers
AeroHolos runs on infrastructure we control (our own hardware and our AWS account). The AI assistant (Aero) runs on models we host ourselves — your questions and records are never sent to a third-party AI provider. Invitation emails are delivered through the company's email service.
Retention
Contracts, released engineering records, flight and incident records, financial approvals, and the audit log are kept long-term because the business and its regulators require it. Working notes, notifications, and assistant conversations follow shorter, configurable retention. Records under legal hold are preserved until the hold ends. When someone leaves, their account is disabled and their records are retained and reassigned — history is not silently rewritten.
How it is protected
Sign-in requires a password and multi-factor authentication. Access is deny-by-default and scoped per company and role. Data is encrypted in transit; sessions expire and can be revoked immediately; consequential actions are audited.
Your choices
You can see your own profile and check-in history in AeroHolos. To correct profile information, ask your manager or the system administrator. Questions or concerns about this notice go to dewitt@aeroworks.com.

If this notice changes in a way that matters, we will say so in AeroHolos before the change takes effect.
